  • Pay Rate: $18.00 - $20.80 per hour

  • Schedule: Monday-Friday | 7:30 AM - 4:30 PM

  • Work Setting: Onsite

As an Administrative Assistant, you'll play a critical role in supporting engineering teams, leadership, and site operations. You'll serve as a central hub for communication, coordination, and organization, helping ensure employees, visitors, and business functions operate seamlessly. What You'll Do

In this dynamic role, you'll be responsible for a variety of administrative and operational activities, including:

  • Supporting daily site operations and serving as a key resource for the Binghamton Facility Site Lead.

  • Greeting visitors, assisting with inquiries, and ensuring a professional and welcoming environment.

  • Maintaining facility-wide distribution lists, safety documentation, emergency procedures, and other important site materials.

  • Coordinating onsite and offsite meetings, events, employee engagement activities, and morale-building initiatives.

  • Managing digital signage and workplace communications to keep information current and accessible.

  • Arranging catering, ordering office supplies, coordinating business card requests, and supporting shipping needs.

  • Assisting with onboarding activities, including workspace coordination, desk setup, and new hire support.

  • Booking domestic and international travel and assisting with expense report preparation.

  • Distributing site-wide announcements, employee updates, and organizational communications.

  • Supporting calendar management, conference room scheduling, customer visits, and leadership coordination.

  • Assisting with community outreach initiatives and local grant activities.

  • Conducting Denied Party Screenings as required.

  • Preparing presentations, reports, correspondence, and meeting materials using Microsoft Office applications.

  • Collaborating with administrative professionals across functions to ensure seamless organizational support.

  • Taking on additional projects and responsibilities as business needs evolve.

Required Qualifications

  • High School Diploma, AA, or AS degree with at least four years of relevant administrative experience, or six years of experience without a degree.

  • Proven ability to manage multiple responsibilities, prioritize effectively, and meet deadlines.

  • Strong written and verbal communication skills.

  • Proficiency with Microsoft Office Suite.

Preferred Qualifications

  • Experience supporting multiple leaders, managers, or engineering organizations.

  • Familiarity with Concur, SAP, Ariba, SharePoint, or similar business systems.

  • Outstanding customer service and interpersonal skills.

  • Ability to remain composed and effective in a fast-paced environment.

  • Experience learning and adopting new technologies quickly.

  • Background supporting site operations, employee onboarding, facilities coordination, or company-wide events.

Pay Details: $18.00 to $20.80 per hour
