Schedule: Monday to Thursday; First Shift (9/80 schedule)
Pay Rate Starting at: $35.01 per hour
Day-to-Day Responsibilities
As the Administrative Assistant, you will operate in a fast-paced, dynamic, onsite aerospace environment. Your responsibilities will include:
Providing comprehensive administrative support to senior program management leadership and associated staff.
Managing complex calendars with precision—prioritizing, scheduling, and coordinating meetings while resolving conflicts and handling last-minute requests.
Coordinating domestic and international business travel arrangements, ensuring all required documentation is prepared, and processing expense reports promptly.
Acting on behalf of leadership to follow up on action items and execute delegated tasks.
Handling sensitive and confidential business matters with professionalism and discretion.
Coordinating internal and external meetings and events by arranging conference rooms, virtual platforms, catering, and logistical setup.
Managing visitor protocols, including arranging site badging, greeting customers, contractors, and VIP visitors.
Responding to information requests, answering telephones, screening calls, and relaying messages appropriately.
Preparing correspondence, high-quality reports, and polished presentations using Microsoft Office tools and collaboration platforms such as Microsoft Teams.
Working cross-functionally with other site and corporate administrative personnel as needed.
Serving as a lead resource to help organize site-wide events and activities.
The successful candidate will thrive under pressure, think independently, anticipate needs proactively, and take ownership of a high daily workload that supports multiple priorities.
Required Qualifications
To be considered for this role, candidates must meet the following basic qualifications:
High School Diploma or equivalent.
8+ years of experience as an Executive Assistant or in a comparable administrative support role.
Advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
Strong expertise in Outlook calendar management and Microsoft Teams.
Exceptional organizational skills with the ability to multitask effectively.
Excellent written and verbal communication abilities.
Proven attention to detail and proactive problem-solving approach.
Experience organizing logistics for meetings, conferences, and company events.
Ability to manage confidential information with discretion.
This position requires use of information or access to facilities subject to the International Traffic in Arms Regulations (ITAR) and/or Export Administration Regulations (EAR). These regulations may limit access of controlled technologies: 1) to U.S. Persons, including U.S. Citizens, lawful permanent residents, and other narrow categories including refugees and asylees, or 2) to certain foreign nationals that have received an export license.
Preferred Qualifications
The following experience and skills are strongly desired:
Associate’s or Bachelor’s degree; background in Business Administration is a plus.
Familiarity with enterprise tools such as SharePoint or similar intranet platforms.
Experience with systems including SAP, Concur, ITRIP, Facilities Requests, and IBUY.
Advanced ability to compile, analyze, and generate professional-level reports and presentations.
Prior administrative leadership experience with contributions to process improvements.
Ability to work autonomously in ambiguous environments and adapt to rapidly changing needs.
Strong proofreading and document-review skills.
