Office Manager / Executive Administration Assistant

Executive Administrative Assistant/Office Manager 
  • Execution of multiple tasks required to keep the office running in a smooth and efficient manner
  • Manage Conference room scheduling
    • Schedule LMLA Board of Director Meetings on a monthly basis
    • Schedule LMLA Executive Committee Meetings on a monthly basis
    • Ensure Computer, PowerPoint Slides, Teleconference Calls, and Net Meeting are all functional and working prior to meeting start
    • Document and transcribe all Meeting Minutes, send to Chairman of the Board for approval, make updates and corrections as needed, and distribute to Board of Directors

  • Provide support to members and organizational staff related to:
    • Membership Applications
    • National Management Association (NMA) Certificates
    • Professional Certification Requirements & Eligibility
    • Issuing of Event Tickets via online ticketing tool
    • General Membership
    • Course Offerings
    • Open, Handle, and Distribute Incoming and Outgoing Mail
    • Manage phone screenings and e-mail requests
    • Provide service to walk-in customers and members
    • Distribute bi-weekly LMLA e-News to all members
    • Catering

  • Oversee, Schedule, and Requests Maintenance service on all office equipment (copier, fax machine, overhead projector, computer, phone, and any computer software related needs)
    • Report copier meter reading on a monthly basis to Company Services Operations

  • Ensure Office Supplies are stocked appropriately and Order when needed
  • Responsible for ordering and stocking all course materials required
    • Approximately 200 courses are offered each year
    • Document, track, and follow-up on any Instructor materials loaned out
    • Support student registration through SharePoint including notifications, reminders & materials for all courses offered through Lockheed Martin Leadership Association (LMLA)
    • Set up Continuing Education Unit (CEU) rosters
    • Coordinate with Course Instructor
    • Schedule the courses in Outlook
    • Monitor Course attendee count to ensure minimum requirement is met
    • Coordinate any Course Cancellations with Manager, Instructor, & Attendees/Participants
    • Document and Collect any Payments Received by participants or for Course Materials

  • Process all check requests
    • Collect funds for all courses, events, supplies, or membership dues
    • Ensure submittal to Manager of Banking
    • Forward requests to President for signature
    • Enter all transactions into QuickBooks
    • Print, Copy, and Distribute Checks as needed

  • Receive and process all LMLA Membership Applications
    • Submit to Payroll for dues deductions
    • Submit to Manager of New Members
    • Track and Record the number of new members into the LMLA distribution database
    • Add members to e-mail distribution list
    • Provide or Mail LMLA membership packets to each new member

Create and Complete the NMA Monthly Dues Report
